SALARY: €3,500-€4,000 per month, depending on experience

Secretary/Administrative Assistant Main Responsibilities:
• Picking up and delivering the mail (post, courier, etc.)
• Maintaining the general filing and filing all correspondence
• Assisting in the planning and preparation of meetings and conferences (both in-person and online)
• Maintaining an adequate inventory of office supplies
• Performing other general administrative work for office operations
• Answering all incoming calls/emails and handling inquiries whenever possible
• Re-directing incoming calls/emails to the appropriate person in charge (General Manager, other office staff or their relevant section) and taking messages (in case of calls) when required
• Greeting, assisting and/or directing visitors, and serving drinks as necessary
• Assisting the General Manager and other staff as requested (including copying, web search, interpretation, translation and/or communication support between French (Dutch) and English, administrative support for event/exhibition participation)
• Providing administrative services for the General Manager (including business trip flights, hotels, other logistics, restaurant bookings, and making appointments)
• Providing administrative services for the group visitors to Belgium and other French-speaking regions (including flight, hotel, other logistics, restaurant booking)
• Handling incoming invoices, payment, receipt
• Inputting all the office transactions (payment, receipt etc) into the company’s accounting system for the preparation of accounting reports (supervised by the Headquarters)
Secretary/Administrative Assistant Ideal Candidate:
• More than 3 years of experience in equivalent work as above is preferred
• Holds a bachelor’s degree or equivalent
• Fluent in English and French (Japanese and/or Dutch is an asset)
• Experienced in operating PC through MS Office tools (including Word, Excel, PowerPoint)
• Prepared to build good relationships with different people
• Thoughtful towards others, service-minded and excellent attention to detail
• Eager to learn new things
• Good at time management
