Events Administrator Location: London Salary £28,875 per annum (pro rata) Interviews to take place immediately with a view to an immediate start Temporary Contract (potential to go permanent) Hybrid Working Sector : Professional Membership A prestigious and long-established membership institution in Central London is seeking an Events Support Administrator to join their dynamic Events Team. Running over 70 events per year including conferences, lectures, seminars, webinars, corporate functions and meetings and other ad hoc other events, ranging in size from smaller events to several thousand attendees. As Events Administrator you will provide full support to events operations staff with the administration of their events to ensure a positive delegate experience. Duties: delegate queries both electronically, over the phone, and in person promptly to ensure a high standard of customer service booking amendments, and cancellations of delegates to ensure accurate records are kept events/ papers inbox to ensure that all communication is answered in a timely manner online events on the preferred platform, communicating speaker login details. pre-event communication to delegates to ensure delegates receive correct and accurate information final attendee lists, and send post event surveys to delegates with other departments to create specific guests lists for specialist topic events with authors, speakers regarding presentations and audio visual requirements of sponsor and exhibitor contracts, ensuring their requirements are met KPI reports to monitor department performance of event reports to ensure that all event details are correct for staff use on the day and issue of delegate badges and event materials for use on the day submissions of technical synopses and papers on database and liaising with authors accordingly minutes at meetings (occasional) to ensure records are accurately kept information from files or systems and compiling reports in standard formats of tasks for new or temporary staff as required Stationery to ensure that the office can operate efficiently Printing to ensure that all collaterals are ready for events catering (possibly for meetings) to ensure a positive customer experience for attendees registration fees and issuing refunds on the day at events with registration, front of house/online trouble shooting, ensuring that good customer service is always maintained Skills and Experience Work effectively in a fast-paced team environment Administrative experience within a professional environment Ability to prioritise workload and multitask various projects simultaneously Ability to establish effective relationships with colleagues and senior individuals A strong 'can do' attitude Excellent written and oral communication skills High attention to detail Thrives under pressure IT Skills Microsoft Office (Word, Excel, Outlook), Zoom Events Attendance at early morning and evening work is required on weekdays only.
